About the role
MyEyeDr. is seeking a proactive and detail-oriented Executive Assistant to provide comprehensive support to our Chief Financial Officer (CFO) while serving as a central hub for the Finance and Practice Development functions across our multi-unit operations. This role requires exceptional organizational skills, strong communication abilities, and a proactive approach to managing priorities and facilitating effective communication among stakeholders. The successful candidate must exercise good judgment in a variety of situations while balancing multiple priorities.
This is a hybrid role offering a flexible work arrangement out of our Vienna, VA office.
You Will
- Manage the CFO's calendar, schedule appointments, and coordinate meetings with internal stakeholders, and external partners.
- Provide regular updates to the CFO regarding upcoming commitments, ensuring they are aware of obligations, meetings, and deadlines.
- Prepare meeting agendas, presentations, reports, and other materials to support the CFO in decision-making processes and strategic initiatives.
- Assist with travel arrangements, including booking flights, accommodations, and ground transportation, to ensure efficient and seamless travel for the CFO.
- Prepare itineraries, collect all necessary information related to the travel, including dates, locations, transportation options, accommodation details, meeting schedules, and any specific preferences or requirements of the CFO.
- Manage expense reports, ensuring all expenses are accurately recorded and accounted for according to the company policies and procedures.
- Prioritize inquiries and requests, quickly identify high-priority items that require immediate attention and defer less urgent matters to be addressed later.
- Delegate routine inquiries or tasks to appropriate team members or support staff whenever possible, freeing up the executive's time to focus on higher-value activities.
- Make recommendations to enhance operational efficiency within the Finance department.
- Coordinate departmental meetings, conferences, and training sessions, ensuring all relevant stakeholders are informed and prepared.
- Act as the primary point of contact for the Finance and Practice Development departments across our multi-unit operations, facilitating communication and collaboration among team members.
- Leads and supports special projects as directed by the CFO related to critical business initiatives. Uses critical thinking on project work to create messaging and design for presentations.
- Monitor departmental budgets, expenses, and performance metrics, providing regular updates and analysis to the CFO and other stakeholders. Anticipate the CFO's needs and take initiative to proactively address potential issues or challenges, demonstrating a solutions-oriented mindset.
- Maintain confidentiality and discretion when handling sensitive information and confidential matters related to finance, operations, and practice development.
- Stay informed about industry trends, regulatory changes, and best practices relevant to the vision retail sector, providing insights and recommendations to support decision-making processes.
About You
- 5+ years of experience as an executive assistant or in a similar support role, preferably within the retail or healthcare industry.
- Bachelor's degree in business administration, finance, or a related field or the equivalent combination of education, skills, and experience.
- Experience with executive level support including C-level executives.
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent written and verbal communication skills, with a customer-focused approach to interactions.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Ability to work independently, take initiative, and demonstrate resourcefulness in problem-solving.
- Understanding of financial principles and practices, with the ability to interpret financial data and reports.
- Commitment to maintaining confidentiality and upholding ethical standards in all aspects of work.
